Workplace Support Officer
Job title: Workplace Support Officer.
Location: Office in Belfast city centre.
Hourly Rate: £13.00–£14.00 per hour plus company pension and health benefits.
Hours of Work: 25 hours per week (Part time).
Days of Work: 4 days per week (Between Monday – Friday and includes some weekend and evening support, as per booking/event requirements).
Contract Period: 12 months (Extension subject to continued funding).
Parking Facilities: Free onsite parking.

WheelWorks is a leading regional youth arts charity, which, since 1995 has been working with young people aged 4-25 and their communities across Northern Ireland.
The workplace support officer role combines inventory management of digital equipment and arts resources with proactive workplace health and safety management across all our services.
As the workplace support officer, you will be looking after all equipment inventory and be responsible for managing digital and arts resources (e.g., iPads/gaming equipment, AV equipment, arts materials etc.), supporting staff and freelance artists with the resources needed to deliver the creative activities.
As a health and safety office support you will be supporting with maintaining all health and safety standards across the organisation.
As needed provide support at WheelWorks festival, events, workshops
This role requires you to be flexible to meet the workplace support needs which includes weekday support and some evening and weekend support as per bookings and events.
Key responsibilities
Equipment Management Support:
Responsible for managing all WheelWorks digital equipment and arts materials.
Inspect, maintain, and ensure all equipment meets project operational standards.
Responsible for managing and maintaining WW inventory (i.e., equipment/resource systems and procedures).
Managing and maintaining the organisation’s digital equipment and materials booking in and out systems for projects/activities.
Assisting in digital support with regards to App. updates and IT equipment updates.
Assisting project coordinators and artists with their arts workshop materials.
Purchasing equipment and materials as required/as per budget and in line with procurement procedures.
Coordinate and arrange equipment and material for the projects/ activities with the coordinators.
Assisting with basic IT setup of office computers and liaising with IT company as required.
Maintain accurate records of equipment inspections, repairs, and certifications.
Assisting in maintaining the office and TechStudio health and safety aspects (i.e., IT, technology, visual art equipment, and digital equipment etc.)
General office resources maintenance and support as required.
Health & Safety and Office Support
Maintain implement and monitor health and safety policies and procedures for safe working practices.
Conduct quarterly risk assessments and office inspections to identify hazards.
Report to management of any recommendations and support with corrective actions.
Tech Studio set up requirement for room hire/ training courses
Tech Studio equipment set up requirement for room hire/ training courses.
Organise meetings and lead on any discussion with staff/artists/facilitators/team members issues with staff members to maintain safe working practices.
When required give support in an assistant role at WheelWorks festival, events, workshops.
PERSONAL SPECIFICATION
Minimum 3-4 years' experience in inventory/stock recording, updating and management.
Minimum 3-4 years' experience in general support role within office/warehouse/business parks etc.
Minimum 3-4 years’ experience in health and safety support roles, preferably with office/business environment.
Strong interpersonal skills for collaborating with staff teams.
Strong written and in person communication skills.
Excellent understanding of digital equipment and material resource management systems and procedures.
Strong time and team management skills.
Ability to conduct risk assessments and write the reports.
Proficient in MS Office and health and safety management systems.
Administration skills & high level of IT literacy, including Microsoft Office/Excel.
